Handling Serial Numbers

Task/Problem Overview
This knowledge based article will describe how to handle merchandise that you need to track serial numbers for warranty purposes.
Spreadsheet Admin Settings
By default, the Serial Number column will not appear as part of your order grid. To add this column to your existing grid go to > Settings > Spreadsheet Admin

Choose the spreadsheet(s) you want to update and select ‘Show All’

Find the ‘Serial Number’ column and click to highlight.

Next, check the ‘Show Column’ button to add this to your spreadsheet.

Finally, using the arrows move the column into the desired spot in the grid and save the update.

Repeat this process for each spreadsheet Type (RMA, RTV)
Entering Serial Numbers (Single Item)
In the scenario that you need to enter a serial number for an item for warranty purposes, you will handle this during order entry. NOTE: Serial Numbers can also be added to RMA’s and RTV’s.

Select > New > Quote/Order

Enter the Customer’s information

Enter an item that has a serial number

Next, locate the ‘Serial Number’ column within the order grid.

Enter the Serial Number for the single item.

Repeat this process for all items that are applicable.

Convert Order
Entering Serial Numbers (Multiple Items)
In the scenario that a customer is ordering multiple of the same items that require you to enter multiple serial numbers for each, you will follow the same procedure as listed above.

Select > New > Quote/Order

Enter the Customer’s information

Enter an item and quantities that have serial numbers

Next, locate the ‘Serial Number’ column within the order grid.

Enter each serial number separating each number by a “,”.

Repeat this process for all items that are applicable.

Convert Order
Alternatively, you can enter the same item multiple times on the order so you can enter one serial number for each line.
Searching by Serial Numbers
In the scenario, you need to search for an order using a serial number for reference or if you need to return the item select > Open

Using the Serial Number filter enter the serial to find the order.

Once you find the order, open as usual.
- NOTE: If you are doing a return, follow the usual return process from an order and the serial number will be shown.
